- Organization Data: Organization name, aircraft details (tail numbers, maintenance records), and member information when you create or join an organization.
- Flight Data: Flight logs including dates, times, routes, and hours.
- Aircraft Data: Aircraft details, squawks, inspection records, and maintenance logs.
- Financial Data: Billing and transaction records within your organization (we do not store credit card numbers; payments are processed by Stripe).
- Support Communications: Messages and information you provide when contacting support through the App.
2.2 Information Collected Automatically
- Device Information: Device type, operating system, unique device identifiers, and push notification tokens.
- Usage Data: App interaction data, feature usage patterns, and crash reports.
- Log Data: Access times, pages viewed, and other diagnostic data.
2.3 Information from Third Parties
- FAA Registry Data: We use publicly available FAA aircraft registration data to help you look up and verify aircraft information.
- Authentication Providers: If you sign in with Apple or Google, we receive your name and email from those services.
3. How We Use Your Information
We use your information to:
- Provide, maintain, and improve the App's features and functionality.
- Manage your account and organization membership.
- Track flights, maintenance, inspections, and scheduling for your aircraft.
- Process billing and financial transactions within organizations.
- Send push notifications, email alerts, and reminders you have opted into (e.g., inspection due dates, reservation reminders).
- Provide AI-powered assistance through our in-app chatbot to answer aviation and app-related questions.
- Respond to support requests and provide customer service.
- Detect, prevent, and address technical issues and security threats.

4. How We Share Your Information
We do not sell your personal information. We may share information in the following circumstances:
- Within Your Organization: Other members of your organization can see shared data such as aircraft records, flight logs, squawks, reservations, and billing information as permitted by your role.
- Service Providers: We use third-party services including Firebase (hosting and database), Stripe (payment processing), Google Cloud (infrastructure), and Apple/Google (push notifications). These providers only access data necessary to perform their services.
- AI Services: Conversations with our in-app AI assistant are processed by Google's Gemini API. We do not send personally identifiable information beyond what you type in the chat.
- Legal Requirements: We may disclose information if required by law, court order, or governmental regulation.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
5. Data Storage and Security
Your data is stored on Google Cloud/Firebase servers located in the United States. We implement industry-standard security measures including:
- Encryption in transit (TLS/SSL) and at rest.
- Firebase Authentication with secure token management.
- Firestore Security Rules that restrict data access based on user identity and organization membership.
- Firebase App Check to protect against unauthorized API access.
While we strive to protect your data, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide services. When you delete your account:
- Your personal profile data is removed.
- Organization data you contributed (flight logs, squawks, etc.) may be retained for the organization's operational continuity, but your personal identifiers are disassociated.
- We may retain certain data as required by law or for legitimate business purposes (e.g., transaction records for accounting).
7. Your Rights and Choices
Depending on your location, you may have the following rights:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your personal data.
- Portability: Request your data in a portable format.
- Opt-Out: You can disable push notifications, email notifications, and SMS notifications in the App's settings at any time.

10. International Users
If you access PlaneBud from outside the United States, your data will be transferred to and processed in the United States. By using the App, you consent to this transfer.

If you are a California resident, you have the right to:

- Request deletion of your personal information.
- Opt out of the sale of personal information (we do not sell personal information).
